Case Study: Press Operations & Media Relations
Managing Press Operations for a Major Entertainment Festival
Challenge
A large international entertainment and events company brought one of its major fan conventions to Fort Worth, attracting national and international talent, celebrity guests, creators, media organizations, and thousands of attendees. With dozens of media outlets seeking credentials, interviews, access, and on-site support, the event needed a dedicated press operation capable of keeping media activity organized while protecting the experience of talent, guests, event staff, and participating journalists. The challenge extended well beyond generating publicity. The press operation had to coordinate a large volume of media requests, evaluate outlet legitimacy, manage credentials and schedules, support talent representatives, maintain clear expectations, and keep interviews and press activity moving throughout a busy multi-day event.
Work
The work centered on serving as the event’s on-site press team and operating the press room throughout the festival weekend. Before the event, media inquiries and credential requests were reviewed and vetted, participating outlets were contacted, interview and access requests were organized, and press schedules were coordinated with the event’s marketing team, local staff, talent representatives, managers, and participating media organizations. On site, the work included press check-in and credentialing, badging, seating, interview coordination, schedule management, media assistance, talent liaison support, and day-to-day operation of the press room. The team served as an intermediary between journalists, talent, managers, event staff, and the organization’s broader marketing operation. That role also required managing the practical boundaries of live media activity. Interviews had to remain on schedule, journalists needed clear guidance on access and timing, and situations occasionally required intervention when interviews ran long or made participating guests uncomfortable. The goal was to keep the environment professional, welcoming, organized, and respectful for everyone involved. Additional public relations support included pre-event press releases, media outreach, and promotional communication leading into the festival.
Result
The press operation helped support dozens of media stories and interviews reaching local, national, and international audiences while giving journalists and talent a more organized experience on site. The engagement was successfully repeated across multiple years, with positive feedback from participating media, guests, and event stakeholders and no significant press-management issues during the events. The structure helped the organization manage a large and diverse press pool while creating the conditions for extensive earned-media coverage around the festival.
